Write an invoice in four steps
- Your details: name or company, address, IBAN and, if you like, your logo. The browser remembers them for the next invoice.
- Customer: name and address. The address field fits a window envelope on the left or right.
- Services: what you did, with quantity, unit and price. Subtotal, VAT and total are calculated.
- Download the PDF and send it by email or post. The QR payment part is already included.
What goes on a Swiss invoice
| Detail | Mandatory or recommended |
|---|---|
| Name and address of sender and customer | mandatory with VAT, otherwise recommended |
| Date and service with date or period | mandatory with VAT, otherwise recommended |
| Amount and currency | always |
| VAT number and rate; tax amount unless VAT is included in the price | mandatory with VAT |
| Invoice number and payment deadline | recommended |
Since October 2022, the QR payment part has replaced the old red and orange payment slips. Customers pay with a scan in their banking app, without typing anything. More in the Swiss QR bill guide.
Avoid common mistakes
- Missing or duplicate invoice numbers: payments become hard to trace.
- Charging VAT without being registered: not allowed.
- No payment deadline: it is unclear when you can send a reminder.
- Payment part printed scaled down: it often no longer scans.
Prefer to start from a sample? The Swiss invoice template shows a complete example. If an invoice stays unpaid, use the friendly payment reminder.
Frequently asked questions
What must an invoice in Switzerland contain?
The details are mandatory mainly for VAT-registered businesses: name and address of sender and customer, date, service, amount, VAT number and rate (tax amount unless included in the price). A unique invoice number and a payment deadline are recommended for everyone.
Can I issue an invoice without VAT?
Yes, if you are not registered for VAT, for example because your turnover stays below CHF 100,000 a year. You then show no VAT; the generator can note this on the invoice.
How should I number my invoices?
Consecutively and uniquely, e.g. 2026-001, 2026-002. That way you find every invoice again and can match payments. In Velro the number counts up automatically.
Is it really free?
Yes, unlimited and without sign-up. The PDF carries a small note “Created with Velro”. Your entries stay in your browser and are not stored on our server.
Rather automatic than by hand?
Velro writes replies, quotes and Swiss QR invoices straight from your emails, sends them and follows up on open payments. Try it free for 14 days.
