Texts for a payment reminder
Short and friendly
“Dear Ms Keller, this has probably slipped through: our invoice 2026-014 of 1 September for CHF 1,945.80 is still open. Please transfer the amount by 24 October. If you have already paid, please disregard this message.”
For regular customers
“Dear Mr Brunner, thank you for the good collaboration. Going through our accounts, we noticed that invoice 2026-011 is still open. You will find the payment slip with QR code attached again.”
Asking for feedback
“Hello, we have not yet received payment for invoice 2026-009. Is there a question about the invoice or the service? Please get in touch, we will find a solution.”
Paste the text of your choice into the “Letter text” field above or keep the default text. The QR payment part automatically contains the amount due.
If the reminder is not enough
A first and a final reminder follow, both with the payment reminder template. Deadlines, fees and default interest are explained in the guide to payment reminders. In Velro, reminders go out automatically as soon as an invoice is overdue, if you want.
Frequently asked questions
What is the difference between a payment reminder and a dunning letter?
The payment reminder is the first, friendly notice, usually without a fee. If payment still does not arrive, a first reminder and a final reminder follow. The law prescribes no particular sequence.
When should I send a payment reminder?
Usually a few days to two weeks after the due date. Earlier quickly feels pushy, much later delays payment unnecessarily.
Can I charge a fee with the first reminder?
Only if it was agreed, e.g. in your terms. Most businesses deliberately skip it for the first reminder, because it is often just an oversight.
Is the template free?
Yes, free, unlimited and without sign-up, with a QR payment part for the amount due, as PDF.
Rather automatic than by hand?
Velro writes replies, quotes and Swiss QR invoices straight from your emails, sends them and follows up on open payments. Try it free for 14 days.
