Create QR invoices without retyping anything
With Velro, a quote or the customer’s email becomes a Swiss QR invoice with a QR payment part. You review it, send it by email or post and see what has been paid and what is still outstanding.
How a QR invoice is created in Velro
- From the quote: Once the customer has accepted, you turn the accepted quote into an invoice with one click, also split into a deposit and a final invoice.
- From the email: If a customer writes to you after the job is done, Velro reads the whole conversation and suggests the line items with your services and prices. No prior quote is needed.
- By hand: Enter line items, quantities, units and VAT rate yourself, with 5-centime rounding if you like.
When sending, Velro fixes the payment reference as well as the company and customer details. They remain unchanged afterwards, even if you later change your address or logo. When downloaded again, the amount summary and the QR payment part always show the amount currently outstanding.
The QR payment part according to the Swiss standard
Every invoice gets the payment part with receipt and Swiss QR Code at the bottom. Your customers scan it in their e-banking or banking app, and the amount, account and reference are already filled in.
- QR reference with a QR-IBAN, otherwise Creditor Reference (RF) with your regular IBAN
- Structured addresses for the payee and the payer
- Invoice number and title as a message in the payment part
- Outstanding amount after deposit, partial payments and any dunning fees
How the QR invoice is structured and what you need to watch out for is explained in our guide to the QR invoice.
Send invoices and keep track of payments
Velro sends the invoice as a PDF from your own mailbox (Gmail, Outlook or IMAP), with a cover text and an amount summary in the email. You then record payments and see partial payments and the remaining balance. Overdue invoices are flagged automatically, and you can follow them up with a payment reminder or dunning notice.
Your design on every invoice
You set your logo, accent colour, font, table style and footer once. The preview shows the real PDF with your company details. Quotes and invoices therefore look consistent.
Frequently asked questions
Do I need a QR-IBAN for QR invoices?
No. With your regular IBAN, Velro creates QR invoices with a Creditor Reference (RF reference). If your bank has given you a QR-IBAN, Velro automatically uses the 27-digit QR reference.
Can I issue deposit and final invoices?
Yes. You can split a quote into a deposit invoice and a final invoice. The final invoice deducts the deposit automatically, and the QR payment part only contains the remaining amount.
What happens if the customer only pays part of the amount?
You record the partial payment, Velro shows the outstanding balance and marks the invoice as overdue once the payment term has passed. Payment reminders contain a QR payment part for exactly the outstanding amount.
Can I also send QR invoices by post?
Yes. The PDF is designed for Swiss window envelopes (left or right). For sending by post, print it on paper with a perforation for the QR payment part (as the standard requires) and mark the invoice in Velro as sent by post.
Which currencies does the QR payment part support?
The Swiss QR payment part is defined for Swiss francs (CHF) and euros (EUR). For other currencies, Velro prints the bank details on the invoice.
