Friendly and effective reminders
- Payment reminder: a few days after the due date, friendly, no fee. Most invoices get paid at this point.
- First reminder: about two weeks later, with a new deadline and any agreed fee.
- Final reminder: short deadline and notice of further steps, for example debt collection.
The template fills in the letter text for each level. You can edit it before downloading the PDF. Deadlines, fees and default interest are explained in the guide to payment reminders in Switzerland.
Stop chasing invoices
In Velro overdue invoices flag themselves, and reminders go out automatically if you want, always with a QR payment part for the amount due.
Frequently asked questions
How many reminders are usual in Switzerland?
A friendly payment reminder, then a first reminder and a final reminder announcing further steps. The law does not prescribe this sequence.
Can I charge a reminder fee?
Only if it was agreed, for example in your terms or the quote. Without an agreement you can claim the statutory default interest of 5 % per year once the customer is in default (Art. 104 CO).
When is a customer in default?
Automatically only if a payment date was agreed, for example in the quote, the contract or your terms (Art. 102 para. 2 CO). A date that only appears on the invoice is not enough; then it is the reminder that puts the customer in default.
Why a QR payment part on the reminder?
So the customer can pay immediately without looking for the original invoice. The payment part shows the amount due including fees. If you enter the reference of the original invoice, the same reference appears on the payment part.
Rather automatic than by hand?
Velro writes replies, quotes and Swiss QR invoices straight from your emails, sends them and follows up on open payments. Try it free for 14 days.
