Payment reminders and dunning notices without writing letters
With Velro, you follow up on overdue invoices in three levels: payment reminder, first dunning notice and final notice. Each with a QR payment part for the outstanding amount, by email or by post.
Three levels, clearly defined
- Payment reminder: friendly, without reproach, with a new deadline.
- First dunning notice: firmer in tone, with a dunning fee if you like.
- Final notice: with a note that further steps may follow.
For each level, you set the fee, payment deadline and text. The default texts are available in German, French, Italian and English, with placeholders for the invoice number, outstanding amount and new deadline.
With a QR payment part for the outstanding amount
Every dunning notice is a PDF in the design of your invoices: letter, amount summary (invoice amount, deposit, already paid, dunning fees, outstanding amount) and the QR payment part at the bottom. It carries the same reference as the invoice, so you can match the payment unambiguously.
By hand, with approval or automatic
- By hand: Every overdue invoice shows a button to send a payment reminder. In the dialog, you adjust the fee, deadline and text and preview the PDF.
- Bulk sending: In the «Reminders due» overview, you select several invoices and send reminders for all of them at once.
- With approval: Once a day, Velro tells you which invoices are ready.
- Automatic: Velro sends reminders at the time you choose, optionally only Monday to Friday, and then sends you an overview.
Safe instead of duplicated
Immediately before every send, Velro checks whether the invoice is still open and the level is really due. A customer never receives the same level twice, and no reminder is sent for an invoice that has already been paid. If a customer only pays the invoice amount without the fee, you can waive the outstanding fees with one click.
When a customer is in default and what comes after the final notice is covered in the guide to payment reminders in Switzerland.
Frequently asked questions
Are dunning notices sent automatically?
Only if you want them to be. By default, you send reminders by hand. With «With approval», Velro tells you which reminders are due and you send them. With «Automatic», Velro sends them at the time you set and informs you afterwards.
Am I allowed to charge dunning fees?
Swiss law does not provide for dunning fees. You should only charge them if they have been agreed with the customer, for example in your terms and conditions. In Velro, you set a fee per level; the default is none.
What happens if the customer has paid in the meantime?
Once an invoice has been paid, no more reminders are sent for it. Velro checks the payment status immediately before every send.
What comes after the final notice?
Velro has three levels. After that, the invoice remains flagged as overdue. You initiate debt collection proceedings yourself at the competent debt collection office; Velro doesn’t do that.
